Role Purpose
This position reports to the NDIS Team Leader within the Rockhampton office. The position will provide administration support to the NDIS program, while at the same time being accountable for ensuring the effective end to end administration of NDIS business from referral through to invoicing.
This position also has a role in ensuring that organisational policies and procedures enable, support, and reinforce NDIS good practice and mandatory requirements by facilitating internal process improvement.
Position Expected Tasks
- Support ongoing development and expansion of WWH NDIS services.
- Support collaboration between WWH NDIS, Mental Health and Psychosocial programs.
- Support families (particularly those that are vulnerable) to access the NDIS.
- Support WWH for the future of the NDIS following the “2023 NDIS Review Working Together” to deliver the NDIS and keep WWH informed with a high level of situational awareness regarding changes within the NDIS sector.
- Work with our Quality Assurance Officer to maintain NDIS Registration and ensure WWH delivers services consistent with the National Disability Supports Quality and Safeguards Commission.
- Support the development of WWH NDIS services related policies and procedures including service manual construction.
- Support marketing/communication strategy aimed at increasing awareness of our services with potential consumers and referrers.
- Assist to develop, enhance, and document the NDIS service-related policies and procedures.
- Liaise with Mental Health Clinic Team Leaders and Clinical Governance structures to ensure safe and effective delivery of services from referral through to closure.
- Undertake quoting for NDIS services in an efficient, effective, and sustainable manner.
- Undertake regular internal evaluation of WWH’s NDIS work to promote an ongoing improvement process such as seek feedback from Assessors, LAC’s, Participants, Carers, Referral sources.
- Provide support to participants and families who are wanting to transfer their supports from their current providers to WWH.
- Monitor and manage service agreements including available funds for all WWH NDIS participants.
- Ensure NDIS reporting requirements are conducted in a timely and appropriate manner.
- Monitor client data across multiple internal and external systems.
- Monitor the NDIS email inbox for referrals and ensure internal consumer tracking systems are managed.
- Ensure referrals are assessed at the next Clinical Intake Meeting to ensure appropriate clinical services assignment.
- Maintain and update approved Service Agreements (SA) and Schedule of Supports (SOS) in line with NDIS and internal requirements.
- Support the onboarding of new referrals and their transition to allocated clinicians.
- Monitor and update client plan usage milestones, plan/service agreement expiry dates and progress reporting dates and ensure organisational tasks are undertaken in a timely manner.
- Assist the Finance team with NDIS invoicing and any administration issues as appropriate.
- Monitor and manage the WWH NDIS Portal; and
- Other duties, as requested.
Essential Criteria:
- Current Drivers License, Working with Children Card (Blue Card); Disability Screening Card and willingness to undertake a Criminal History check.
- Prior experience with NDIS administration including Portal claiming and processing within a disability or healthcare environment.
- Ability to support access to the National Disability Insurance Scheme (NDIS) for people with disability arising from mental illness.
- Prior hands-on experience with NDIS client and financial systems
- Excellent communication and interpersonal skills.
- Strong attention to detail.
- Commitment to quality and process improvement.
- Effective time management and prioritisation skills.
- Ability to effectively use a variety of technologies including, mobile phones, computers, computer-based programs, and internet applications plus demonstrated competence in Microsoft suite of programs particularly Excel.
